Official accounting: chart, journal, statements and closing

Double-entry bookkeeping with a chart of accounts per country (Spanish non-profit and SME plans, French plan), treasury synchronisation, official books and year-end closing.

Where to find it: Administration → Official accounting (treasury roles).

For clubs that must file accounts: journal and ledger, trial balance, balance sheet and income statement in the official models, VAT book with return summaries, fixed assets with depreciation and year-end closing with next-year opening. No accounting knowledge is needed day to day: treasury is posted automatically.

How to do it

  1. Settings: chart of accounts (Spanish non-profit by default; SME plan for companies; French plan), fiscal year start month, VAT regime, registry number and default accounts.

  2. Post treasury: one button in the overview turns every charge, payment, refund and simple-book entry into journal entries; it is idempotent and shows what is pending.

  3. Manual entries: supplier invoices, payroll, grants, loans… with live balancing, drafts and reversal by contra entry (posted entries are never edited).

  4. VAT and returns: register issued and received invoices (base, rate, VAT, withholding, tax ID); the quarterly summary gives the VAT return and the list of large counterparties.

  5. Fixed assets: register goods with useful life; depreciation is posted at closing.

  6. Closing: at year end “Close year” depreciates, regularises, closes and opens the next one. It can be reopened.

  7. Books: print or download as CSV the journal, ledger, trial balance, balance sheet, income statement and invoice register with a legal header.

Keep in mind

  • “Print” generates real PDFs (journal, ledger, trial balance, balance sheet, income statement and invoice book) with the club logo and name in the header, legal data, fiscal year, page numbers and “Powered by Add On Sport” in the footer; the CSV is for the accountant.

  • The chart cannot change once entries exist.

  • Lock accounting up to a date after filing so nobody posts into closed periods.

  • Each simple-book category can carry its chart account (Accounting → Categories).

Frequently asked questions

Does it replace my accountant?

It gives them the books ready; your accountant can review the journal and post manual entries or use the CSVs.

Does it work in France?

Yes: plan comptable général for associations with bilan and compte de résultat. For other countries there is a generic chart.
