Automations and tasks

Rules that send emails or create tasks when something happens: unpaid charge, expired document, new registration, birthday.

Where to find it: Communication → Automations and Tasks.

An automation is “when X happens, do Y”: when a charge is 10 days overdue, send a reminder; when the medical certificate expires, warn the family and create a task for the manager; when someone joins, send the welcome.

How to do it

  1. Pick a built-in template (three-step dunning, welcome, expired documents, birthdays) or create a rule from scratch.

  2. Define the trigger, conditions and actions (email, message, task, tag).

  3. Activate it and review the run history.

  4. Tasks (call a family, review a document) are assigned to a user with date and priority.

Keep in mind

  • Automations respect email opt-outs (suppressions).

  • You can pause a rule without deleting it.
