Quick start: from sign-up to the first payment

The recommended path to get the club running: data, season and teams, members, families in their personal area, fees, payments, website and communication. With links to every guide.

Add On Clubs is set up in an afternoon if you follow this order. You do not need to do everything: each block works on its own, but the order avoids redoing things (for example, fees depend on membership types and teams on the season).

If you come from another tool or spreadsheets, start by importing members (step 3): everything else builds on them.

1. The club: data, logo, language and payments

In Settings → General fill in name, tax data (legal name and tax id appear on receipts and books), logo, colour, country, currency and time zone. Choose the main language and the enabled languages: the panel, emails, website and personal area adapt. See Create the club and set the basics and Emails, sender and languages.

In Settings → Integrations connect online payments (ZRU/Paymatico in Europe, Stripe elsewhere) or keep file-based direct debit. Test organisations collect with Stripe in test mode (card 4242 4242 4242 4242) with no setup. See Configure payments.

2. Season, sections and teams

With the current season defined, create the sections (sports or schools, each with its colour) in Settings → Structure and the teams or groups in Sports area → Teams (“New team or group”). The schedule does not live on the team: it is created as a weekly series of training sessions. Membership types, staff roles and document types come pre-created in your language and are edited in the Settings tabs. See Seasons, sections and teams.

3. People and families

Import from Excel with the wizard (detects columns in Spanish, English and French, creates guardians and families) or add records one by one. Each person can be a member with number and status, belong to teams and have documents with expiry. Families group children with their guardians and the payer. 4. Documents and consents

Define which documents the club requires (ID, medical certificate, minor authorisations…) and who must have them. Families upload them from their area and the club reviews them; automations warn before they expire. See Documents, consents and review.

5. Invite the staff

In Settings → Users with access invite by email or create the user directly (name, email, role and optional password) for coaches, treasury and administration; coaches only see their teams. See Invite users and roles.

6. Fees and payments

Create fees (monthly, quarterly, yearly, enrolment, per family or per athlete) and assign them to people or teams with sibling discounts. Generate charges, send payment links or load the direct-debit batch; each payment issues a PDF receipt and families pay from their area. Credits and extras apply on the next receipt. 7. Families in their personal area

Each family signs in with their email (magic link, password or Google) and sees payments, documents, calendar, messages, digital card and bookings. Send them the access from the record or in bulk. See How families sign in and What families see.

8. Training, matches and attendance

Plan single sessions or weekly series, take attendance from the phone, record matches with call-ups and stats, and follow each athlete with metrics, evaluations, goals and injuries. See Sessions and attendance, Matches and competitions and Athlete tracking.

9. Communication

Messages with families and team channels with phone notifications, club announcements, email campaigns by segment and automations (payment reminders, expiring documents, birthdays). See Messages and channels, Campaigns and segments and Automations and tasks.

10. The club website

Publish a website with its own domain in minutes: predefined pages (shop, activities, calendar, teams, sponsors, contact…), news, forms that convert into members and blocks that fill themselves with club data. See Create the club website and Predefined pages.

11. Activities, shop and access

Camps, courses and events with registration and payment; kit shop with sizes and stock; digital card, access points with a phone scanner and printed cards from the designer (“Cards” menu entry). See Activities, Shop and Digital card and access control.

12. Treasury and accounting

Income and expense book by category and event, bank statement reconciliation and, if the club files accounts, official accounting with chart of accounts, books, statements, VAT, fixed assets and closing; every PDF carries the club logo and the books also export to CSV. Keep in mind

  • With a test organisation (sandbox) you can rehearse everything with fictional data and Stripe test payments; nothing is really charged.

  • Every list has “Export” to Excel, CSV, PDF or text with the columns you choose; see Duplicates, saved views and export.

  • If you get stuck, the support chat sits bottom-right throughout the panel.

Frequently asked questions

How long does it take to start?

With members in Excel, one to two hours to have people, teams and fees; website and communication can be added whenever you want.

Can several people do it at once?

Yes: invite your team with roles and each one takes care of their part (sports, treasury, communication).
