Registration quotas

Registration quotas define how much each participant pays, how many places are available and who can register. They are configured in Configuration → Registration Quotas, with separate tabs for individual and team quotas.

Creating a quota

• Click New quota
• Enter the name visible to participants
• Configure prices, limits and additional options
• Save changes

Each quota can be duplicated to create variants and marked as active/inactive or shown/hidden from the list. A quota with registrations cannot be deleted.

Price configuration

Each quota has one or more consecutive price periods:

• Each price has a name (e.g. "Early bird"), amount and validity period with start and end date/time
• Periods cannot overlap or leave gaps
• You can align dates with the registration start/end with a single click
• For each price you can show or hide the amount and available places on the public website

Prices increase automatically when changing period, with no manual intervention needed.

Participant limits

• General limit: maximum number of places in the quota, regardless of gender
• Gender limit: define independent limits for male and female. When one gender limit is reached, that gender closes automatically even if the other still has places
• The website can show a warning when fewer than 10% of places remain

Shared limits

Shared limits allow multiple quotas to compete for the same total capacity. For example, if you have 200 places and two quotas —"Early bird" and "General"— you can link them with a shared limit of 200. When the combined registrations reach 200, both quotas close automatically.

This prevents overselling when you offer several parallel quotas competing for the same capacity.

Waiting list

Enable the waiting list so participants who arrive when the quota is full can sign up. When places are freed by cancellations, they receive an automatic notification to complete registration.

Access restrictions

• Access code/URL: the quota is only visible to those who access with a specific code or URL you distribute
• Automatic federated athlete verification: when saving the registration, the platform automatically checks that the participant's licence is valid and current with the corresponding federation. If verification fails, the registration is not completed. Use this for quotas reserved exclusively for athletes with an active federation licence

Team quotas

Team quotas allow groups of participants to register under the same team. They are configured in the Team quotas tab.

Team composition

• Define the minimum and maximum number of members
• Associate one or more individual quotas: each member registers in the individual quota linked to the team
• You can associate different quotas by gender (separate male and female quotas within the same team)

Line-ups

If you enable line-ups in the team quota, team managers can create and modify the list of participants who will compete before the event.

• For teams to manage their line-ups from the portal, a team access type must be configured in Event information
• You can define until what date and time teams can modify their line-up
• From the administration panel you can view and edit any line-up in Participants → Team registrations
