Where to find it: Settings → Document types and the Documents tab of each record.
Each club decides which documents it needs (ID, medical certificate, image consent, criminal record certificate for coaches…) and for whom they are required. Families upload them from their area and the club reviews them.
How to do it
In Settings → Document types create each type, mark whether it expires and who must deliver it: everyone, members or minors.
The family uploads the document from Personal area → Documents (or the club from the record). It stays “under review”.
Review in People → “pending documents” filter: validate, reject with a note or set the expiry date.
Expired documents warn in the record and the personal area, and you can create an automation that chases missing ones.
Keep in mind
Accepted formats: PDF, JPG, PNG, WEBP and HEIC up to 15 MB.
Consents (image, data protection) are just another document type; attach the signed text or request acceptance from a website form.
The personal area shows each family what they still have to deliver.
Frequently asked questions
Can I request a document only from coaches?
Yes: create the type as required for “nobody” and request it from each coach’s record; or use a tag and an automation.
Are documents deleted when someone leaves?
No; they are kept while the record exists.
