Registration fees

Prices, limits, shared limits, federation checks and team fees with line-ups.

Registration fees define how much each participant pays, how many places there are and who can register. They are configured under Settings → Registration Fees, with separate tabs for individual and team fees.

Create a fee

  • Click New fee

  • Enter the name participants will see

  • Configure prices, limits and additional options

  • Save the changes

Each fee can be duplicated to create variants and marked active/inactive or shown/hidden from the list. A fee with registrations cannot be deleted.

Price configuration

Each fee has one or more consecutive price periods:

  • Each price has a name (e.g. "Early bird"), an amount and a validity period with start and end date and time

  • Ranges cannot overlap or leave gaps between periods

  • You can align the dates with the event's registration opening/closing with one click

  • For each price you can show or hide the amount and the available places on the public website

Prices go up automatically when the period changes, with no manual intervention.

Participant limits

Control how many people can register in each fee:

  • General limit: maximum number of places in the fee, regardless of gender

  • Limit per gender: set independent limits for male and female. When either limit runs out, that gender closes automatically even if the other still has places

  • The website can show a notice when fewer than 10% of the places remain

Shared limits

Shared limits let several fees compete for the same total capacity. For example, with 200 places and two fees — "Early bird" and "General price" — you can link them with a shared limit of 200. When the two fees together reach 200 registrations, both close automatically.

This prevents overselling when you offer several parallel fees competing for the same quota.

Waiting list

Each fee can enable a waiting list for when places run out, with two modes (with or without upfront payment), its own size limit and organizer-controlled release. See Waiting list.

Restrictions and access control

Each fee can combine several restrictions on who can register:

  • Validity period: limits registration in this fee to specific dates

  • Password restriction: the fee requires a password to register

  • Age restriction: minimum and maximum age range

  • Gender restriction: limits registration to one gender

  • Restrict by ID/License: only the documents on an authorized list can register

  • Restrict to registrants of other fees/events: only those already registered in the fees or events you choose

  • Via registration link: hidden fees only visible when entering with a registration link

Federation registration check

If the fee uses a federation check, the platform validates each registration against the federation's database:

  • Validation type: license only, ID only, ID and date of birth, or license and date of birth

  • Allowed licenses: national, regional or both, with valid seasons and a processing deadline

  • Additional checks: required documents, federated athlete's photo, bib and chip

  • Scoping: a specific region (or an excluded one), athlete category, allowed categories and minimum score (configurable per gender)

If verification fails, the registration is not completed. Use it in fees reserved for athletes with an active federation license.

Team fees

Team fees let groups of participants register under one team. They are configured in the Team fees tab.

Team composition

  • Define the minimum and maximum number of members

  • Link one or several individual fees: each member registers in the individual fee linked to the team

  • You can link different fees per gender (separate male and female fees within the same team)

Line-ups

If you enable line-ups on the team fee, team managers can create and modify the list of participants who will compete before the event.

  • For teams to manage their line-ups from the portal, a team access type must be configured under Event information

  • You can define until what date and time teams can modify their line-up

  • From the admin dashboard you can view and edit any line-up under Participants → Team registrations

Athletes from other clubs

In club-based registration, each team fee can allow athletes from other clubs (searched by license) and set a per-team limit on how many it can field: empty = no limit, 0 = none. The limit counts starters and reserves, and excludes cancelled ones.
